The U.S. Embassy in Jakarta is seeking an individual for the position of Administrative Assistant in the Public Affairs Section (PAS).


BASIC FUNCTION OF POSITION:

The incumbent serves as the administrative and personal assistant to three Assistant Cultural Affairs Officers. These Officers are responsible for the management of all cultural, speakers, and other programs; exchange programs; and youth outreach. The job holder also serves as back-up to the Cultural Affairs Officer’s secretary and Cultural Affairs Assistant for Exchanges.

QUALIFICATIONS REQUIRED:

NOTE: All applicants must address each selection criterion detailed below with specific and comprehensive information supporting each item.

  1. Bachelor’s Degree or equivalent (S1) in administration or related field is required.
  2. At least two years of progressively responsible administrative experience is required.
  3. Level IV (Fluent) in Speaking/Reading/Writing English and Bahasa Indonesia is required.
  4. Must be able to demonstrate proficiency in using the internet, database programs, and Microsoft Office including Word, Excel, Outlook and PowerPoint. Must have sound knowledge of names, relationships, acronyms and purpose of government, NGO and educational institutions in the U.S. and Indonesia. Thorough familiarity with office procedures and correspondence formats as well as knowledge of office machines.
  5. Must have ability to gather information and draft routine correspondence without instruction. Ability to analyze and organize data and office procedures and make suggestions as to improvements.
  6. Must have excellent customer service and interpersonal skills, especially dealing with people with a wide variety of professional, social and educational backgrounds. Proven teamwork skills. Ability to take initiative and work independently to prioritize work, organize projects and manage time. Must be very highly detail oriented.
